POSITION SUMMARY The Assistant Project Manager will assist the Project Manager in planning, executing, finalizing, and preparing invoices for utility construction projects while maintaining project deadlines and budgets. The APM coordinates with internal teams, subcontractors, and clients to ensure that invoicing procedures and project objectives are accomplished efficiently and flawlessly. This position requires attention to process and detail.

  • Assist in scheduling, budgeting, and tracking project milestones.
  • Support pre-construction activities including township notifications and permit acquisition.
  • Maintain project documentation and ensure timely updates and closeouts.
  • Serve as a point of contact for day-to-day communication among project Supervisors, Foreman and Admin including addressing questions, clarifying project requirements, and relaying critical information between teams and external partners.
  • Proactively identify and resolve potential coordination issues to minimize project delays.
  • Participate in asset collections from foreman’s daily timesheets.
  • Support invoice processing and blanket project tracking.
  • Coordinate project and restoration as-builts for final project close outs and invoicing.
  • Ensure adherence to customer job aids for invoice submittals
  • Assist in procedural updates and tracking.
  • Process daily scope changes (change orders) submitted by foremen and inspectors. Enter the information into the daily scope change log.
  • Email daily scope changes (Change Orders) and to Inspectors and multiple stakeholders for approvals. Creating invoices based on contracted items.
  • Track labor hours, cost codes, and budgets. For blanket projects, prepare AIA invoices.

 Competencies

  • Bachelor’s degree in business, or related field (preferred).
  • 2–4 years of experience in utility or civil construction.
  • Familiarity with baseline forecasting and accruals
  • Proficiency in project management software and Microsoft Office Suite.
  • Strong organizational and time management skills, with the ability to manage multiple priorities
