POSITION SUMMARY:  The Kiely Family of Companies is looking for a Project Administrator who will be assisting field operations with daily scheduling and day to day tasks including importing and receiving construction work to be performed.

  • Initial Contact for Work requested by customer.
  • Assist with crew scheduling for our daily work, requiring interaction with local construction supervisors.
  • Utilize State One-Call Damage Prevention systems in coordination with construction supervisors and scheduling to ensure safe and compliant excavation practices.
  • Daily Data Import of Work to be performed into our tracking/scheduling/billing system and clean coding for payroll and billing to customer.
  • Print Customer Construction Orders as received daily and match with supporting documents for supervisors to preview and schedule.
  • Review physical orders received daily and update tracking system as required.
  • Review daily Cost Code Schedule and update tracking system to correct as needed.
  • Communicate with regulatory agencies regarding street opening permits.
  • Assist with Traffic control as required, including coordination with Local/State Agencies & flagging services.
  • Make copies of job plans and updates.
  • Files and retrieves documents, records and reports.
  • Communicate with internal teams when needed.
  • Communicate with external customers and retrieve as-built documents/billing for their damage claims.
  • Review and distribute physical documents to local construction supervisors and customers.
  • Scan completed work documents (As-Builts) for archive and retrieval (Mains, Services, Restoration).
  • Assist with on-site office management tasks and ordering office supplies.

 

Competencies

  • The ideal candidate will have a minimum of 1 to 2 years’ experience
  • Excellent written and verbal communication skills, time management and organizational skills are required
  • Problem Solving/Analysis; ability to research and analyze various types of data
  • Demonstrated strong time management, organization, and communication skills
  • Fluent in Microsoft Office 365 suite, include Teams and Sharepoint
  • Ability to work independently as well as in a team-oriented, collaborative environment
