The Kiely Family of Companies serves a purpose that’s bigger than any person, project, or company. This role will be required to interact with all levels of the organization and provide excellent customer support. 

Essential Job Duties:

  • Gather all required documentation for driver qualification files.
  • Manage contractor databases and input documentation.
  • Maintain files per DOT requirements.
  • Review, scan, and send files to appropriate Team Members, as well as external organizations and clients.
  • Assist with scheduling of training, organizing and maintaining training, auditing, and QA/QC electronic and hard copy files.
  • Assist with preparation of training and other materials (copies, handbooks, manuals, rosters, etc.)
  • Assist with Apprenticeship Program – handle follow-ups, communication with outside agencies, reporting of progress.
  • Manage accident/damage reports and DOT inspections and coordinate follow-up actions with Management.
  • Assist with all customer calls.
  • Prepare and modify documents, weekly reports, training manuals/handbooks.
  • Office administrative responsibilities such as managing files and records, designing forms and other office tasks.
  • Communicate with internal teams, as needed.
  • Order office supplies.

Skills/Qualifications:

  • High School diploma, or equivalent required.
  • Minimum of 1 to 2 years’ experience.
  • Proficient knowledge of MS Office.
  • Knowledge of NJ and Federal DOT regulations and familiarity with proper documentation.
  • Prior experience with scheduling, coordinating, and preparing documents/reports in an education and/or training capacity.
  • Excellent written and verbal communication skills, time management, organizational, filing, and recordkeeping skills are required.
  • Problem Solving/Analysis; ability to research and analyze various types of data.
  • Ability to work independently as well as in a team-oriented, collaborative environment.

Travel

In this position, you will be traveling 5% of the time in and around the tri-state area.

Physical Demands

The physical demands described here are representative of those that must be met by a team member to successfully perform the essential functions of this job. While performing the duties of this job, the team member may be required to present data to management, agencies and/or clients. In order to gain a better understanding of the type of jobs and/or roles performed by Kiely employees, the team member may also be required to visit/perform inspections of job sites.  The team member will be accompanied by another member of the Department during site visits.  

Position Type/Expected Hours of Work

Monday -Friday, 7:30 am to 4 pm and as required to meet project deadlines.
